Advance Registration: Please register for the Gatorland Field Trip, 404 Awards Dinner, and Guest Welcome Reception by Monday, May 16, 2016.

*If you plan to attend only the dinner, park admission of $30 per person will still apply (total $60).

*Facility Usage Fee

The guest room block and group room rate that have been negotiated with the host hotel include costs incurred to provide the large quantity of meeting space required for this conference. If a sufficient number of guest rooms are not occupied by conference attendees throughout the meeting, organizers will incur additional costs for meeting room rental charges. Therefore, we encourage all meeting participants to stay at the host hotel. Participants not lodging at the Embassy Suites Orlando-Lake Buena Vista South during the conference will be charged a $150 Facility Usage Fee to cover their portion of meeting room rental charges incurred. Please note: If your residential address is located in Orange or Osceola County, you are exempt from the Facility Usage Fee for this conference. If you choose to commute to the conference each day, you will not be eligible for the Embassy Suites’ complimentary cooked-to-order breakfast and nightly Evening Reception included in the guest room rate.

What does the registration fee include?

Conference Registration

The registration fee provides full participation in all general and concurrent sessions, conference materials, Monday Welcome Social, Tuesday Served Lunch, Wednesday Served Lunch and daily refreshments.

Guest Options

Guests may select to register for the Monday Welcome Social ($35), Gatorland Field Trip ($30) or 404 Awards Dinner ($30). Please note that guests are not permitted to attend the daily educational sessions or refreshment breaks.

Gatorland Field Trip

Participants and guests may register for the Gatorland field trip on Wednesday, June 8, 2016 via the conference online registration form. The cost is $30 per person. Children are welcome! Advance registration is required by Monday, May 16, 2016.

404 Awards Dinner

Participants and guests may register for the 404 Awards Dinner on Wednesday, June 8, 2016 via the conference online registration form. The cost is $30 per person. The dinner will take place at Gatorland after the field trip is complete. Advance registration is required by Monday, May 16, 2016.

Refund Policy

Requests for registration refunds will be honored if notice of cancellation is received by the University of Florida IFAS Office of Conferences & Institutes on or before Friday, May 6, 2016. Please contact conference registrar, Kimberly Brand, at kimmer72@ufl.edu if you wish to cancel your registration. A processing fee of 50% will be deducted from the total cancellation amount. After May 6, no refunds will be issued. If you have a colleague who wants to attend in your place, you may substitute your registration. (See below)

Substitution Policy

To substitute a colleague in your place, email our registrar, Kimberly Brand, with your information and the name and full contact information of the person substituting for you, including their affiliation, address, phone number and email address, as well as their request for specific field trips, sessions, and dietary preferences. All substitutions are subject to a $25 administrative fee plus any additional fees due to a difference in registration categories.

Special Needs

Special needs (such as visual, hearing, or walking impairments) of registered attendees can be reasonably accommodated if they contact the University of Florida IFAS Office of Conferences & Institutes at least 10 working days prior to the conference.
